NEC Case Study from Exhibit Experience

Exhibit Experience installed a custom modular project at Hilton Orlando for NEC. This exhibit encompassed the entire Floridian Ballroom and is the culmination of three months work. It is a perfect example of advanced planning, expert execution, and master craftsmanship. We offer exhibit asset management and corporate event assistance in our packages, and for regional shows, such as the NEC show, we employ members of many teams to accomplish a large scale build.

Mission:

Create a large exhibition space with custom elements, fully integrated demonstration stations, back and underlit signage, and custom carpet flooring in one portion of ballroom.

Background:

NEC was the originator of the LED screen and it subsequently divested its’ primary interest and diversified into a variety of technological industries, worldwide. From Smart technologies to file sharing, the NEC reach is far and it required a state of the art, fully integrated exhibit system for its’ participants.

Build:

Over the 90 days build time, our team fabricated custom towers, custom structural side elements for demonstration areas, desks with lockable storage, multiple logo points, custom two toned flooring, and state of the art AV integration.

Delivery:

Delivery of elements for this exhibit required a lot of advanced planning and logistics, however, our project managers ensure that no screen or wall mount is left behind. We completed delivery at the Hilton by the morning of the install and in the face of small challenges, we were fortunate to have elite staff to troubleshoot and go to our warehouses to source materials.

Install:

This exhibit required two teams over two days to install this exhibit. Between deliveries, management checklists, and managing labor, an exhibit of this size, with this number of customizations takes two days to install. The results are impressive.

Result:

As you can see from the before and after, the environment created by our teams is truly impressive. The exhibit is subtly branded at all angles and our design team translated a visual communications message of our client masterfully. Crafting of the custom elements of this booth required expert management of time during the build as well as the install, and our AV integration and electric mapping happens well in advance of install. Our client was very happy with the exhibit install, the timeline, and our project was completed within budget.

Take Aways:

We would like to share a couple of suggestions to consider when you are building a specialty environment to accompany your annual or quarterly meeting.

Timeline:

Make sure you give yourself 60 days from design to delivery for a space at least 20 x 20.

Proximity:

Use a trade show contractor that is proximately located to your meeting. In all builds, there are elements that come up  during the build and they require quick solutions from either the customization house or a quick trip home depot. You will want a local exhibit house that knows what they are doing and where they are going, locally!

Above all, all builds must be dealt with professionally. A small exhibit house without experience will not know how to properly handle the logistics of builds and hiccups that accompany it. We have delivered thousands of exhibit builds and understand the dynamics, time constraints, and expectations of clients.
